Corporate Apartment Check-Out in Budapest — Move-Out Checklist, Key Return and Final Invoice for HR Teams (2026)

Why the End of an Assignment Causes More Problems Than the Start

Corporate apartment check-out in Budapest is the part of an assignment that HR teams plan least and finance teams chase longest. The employee flies out on a Friday, the keys end up in a drawer, nobody confirms the last meter reading, and three weeks later an invoice arrives that does not match the original booking confirmation. A clear move-out process fixes this for everyone: the company, the employee and the provider. LifeSpace manages 100+ apartments with a local Budapest team and has been managing Budapest properties since 2019, so the checklist below reflects what we see at the end of real stays.

It is written for HR managers, relocation officers and assistants who book housing but are not in the flat on the last morning. Use it as a template and adapt it to the terms in your own contract.

Two Weeks Before Departure

Most check-out problems are decided before the final day. Send the provider a short written confirmation as soon as the end date is firm.

  • Confirm the departure date and time in writing, including the check-out time stated in your booking confirmation.
  • Check the notice period. If the stay ends earlier or later than planned, the contract decides what is due. Our guide to notice periods, extensions and early termination explains the usual terms.
  • Decide on any extension now. A one-week extension is easy to arrange two weeks ahead and much harder on the day.
  • Agree who receives the final invoice and which company details, tax number and PO code must appear on it.
  • Tell the provider about late flights or luggage so the team can plan the handover around the traveller, not the other way round.

Check-Out Day Checklist

1. Final walk-through

Ask the employee to photograph each room before leaving, and ask the provider for the move-in condition notes if they exist. A five-minute comparison avoids most disputes about marks, small damage or missing items. If a member of our team is present, the walk-through is done together; if not, photos sent by email are enough for most cases.

2. Keys and access

Count every key, fob and access card against the list given at arrival. Agree where they are left or who collects them, and avoid leaving keys with neighbours or in unsecured places. Also ask the employee to close accounts connected to the flat, such as shared streaming logins or smart-lock codes.

3. Meter readings and utilities

Corporate packages often include utilities, but if your contract has separate charges for gas, electricity or water, take a photo of each meter on the last day. A dated photo is the easiest evidence for the final calculation.

4. Personal items, food and waste

Remove personal belongings, open food and rubbish, and leave the fridge empty and switched on unless told otherwise. Items left behind are kept for a short period, so ask the provider how long and how to collect or ship them.

The Final Invoice: What Finance Should Expect

The final invoice is where a smooth stay can still become an administrative problem. Official Hungarian company invoicing is available from LifeSpace, issued to your legal entity with the tax number and reference code you provide. For a month-end departure the final document normally reconciles the last rent period, any pro-rata days, and extras that were agreed in writing during the stay.

To keep accounts payable happy, ask your provider to confirm three things before the stay ends: when the final invoice will be issued, how any deposit is returned or offset under the contract, and which currency and payment reference to use. Our finance team quick reference for VAT invoices lists the details an invoice should contain.

Common Check-Out Problems and How to Avoid Them

  • Unclear end date: the employee leaves on Thursday, the contract ends on Sunday. Agree in writing whether the unused days are billed.
  • No handover record: without photos, small-damage questions become one person’s word against another’s.
  • Keys not returned: a missing key can mean a lock change. Count them on the last day and record who has them.
  • Cleaning confusion: weekly cleaning during the stay is not the same as a final deep clean. Ask what is covered at the end; see what weekly housekeeping includes.
  • Invoice sent to the wrong person: the employee’s email is rarely the right place. Name an HR or finance contact in the booking.

A Simple Responsibility Split

It helps to decide in advance who does what. A typical split is: the employee photographs the flat, returns keys and removes belongings; HR confirms the date and the invoice details; the provider inspects, closes the booking and issues the invoice; finance checks the invoice against the booking and pays. Writing this into the onboarding email you send to the traveller, together with the move-in day checklist for new hires, gives the whole stay a clear beginning and end.
